Draft and live versions

Every change to a play or pack creates a version. Each version has its own status, so you can keep improving a record without disturbing the one people are using.

Draft and live

  • The live version is the one that is published. Search, shared links, downloads and deployments for everyone else use it.
  • A draft version is a newer version that you are preparing. Only you, and people who can manage plays or approvals, see it.
  • When you publish the draft, it becomes the live version. Until then, the live version keeps being served.

On the page of a published record that has a draft, the status stays Published for everyone, the owner sees draft markers, and Insights shows the live and draft versions side by side.

Version statuses

StatusMeaning
DraftBeing worked on, not yet live.
PendingSubmitted for approval and waiting for a reviewer. It cannot be changed until reviewed.
ApprovedA reviewer approved it. Ready to publish.
RejectedA reviewer sent it back with a comment.
PublishedLive.

A record as a whole can also be Unpublished (it was live once and was taken down) or Archived.

Working with versions

  1. Save or push a change to a published record. A new draft version is created and the live version stays untouched. Saving again edits the same draft instead of creating more versions.
  2. Validate the draft. Changing it afterwards resets validation.
  3. Publish, or Request approval if your Playground requires it.
  4. Use the Versions tab to see every version with its status, who published it and when, to open a version, and to roll back to an earlier one.

Rolling back to a version that was never published leaves it as a draft.

Approvals

When approvals are enabled, the owner requests approval and a reviewer approves it, or rejects it with a comment. Each step records who did it and when. Reviewers see the pending version, not the live one, and they cannot approve something they submitted themselves.

If the owner pushes a newer version while a reviewer is looking at the old one, Approve, Reject, Publish and Request approval are refused with "A newer version exists. Reload and review the latest version".

The Changes tab

For plays, the Changes tab shows what changed between versions, file by file, before you deploy or download. With a draft in progress, the owner and reviewers see the live version compared with the draft. Other people see the live version compared with the one before it, so draft work is not exposed.

Packs

Packs follow the same rules. Each related play in a pack points to a chosen version, and changing the list creates a new version of the pack. See Packs.
